ANSCRIPT Solutions – Privacy Policy
Last updated: September 28, 2026
This Privacy Policy explains how ANSCRIPT Solutions LLC ("ANSCRIPT," "we," "us," or "our"), collects, uses, and shares information when you visit anscriptdealersolutions.com or use the ANSCRIPT Dealer Solutions platform, including the Parts Order Tracker, Master RO Log & Shop Rotation, and SRC Scheduler and SRC Check-In (together, the "Platform").
The Platform is a business tool used by automotive dealerships, repair shops, and their staff. It is not intended for consumers to sign up for directly. Use of the Platform is also governed by our Terms and Conditions.
1. Who This Policy Covers
Authorized users. Dealership and shop staff who sign in to the Platform (such as service writers, BDC staff, managers, and directors), and ANSCRIPT staff who support them.
End customers. Vehicle owners and other customers whose details a dealership enters into the Platform. For this information we act as a service provider to the dealership: the dealership decides what to enter and how it is used, and we process it only on the dealership's behalf and instructions. The dealership's own privacy notice governs its relationship with its customers. If you are an end customer, please contact the dealership you do business with about your information.
2. Information We Collect
Account information. Your name, work email address, job role, and the store(s) you work at. This comes from your employer or ANSCRIPT when you are invited, and from your Google account when you sign in (see Section 3).
Information entered by dealerships ("Customer Data"). Details that authorized users enter while using the Platform, such as end customer names, phone numbers and email addresses, vehicle information (including VINs), repair order numbers, parts orders, service rental appointments, technician names, and notes. The Platform is not designed to hold Social Security numbers, driver's license numbers, credit or financial account information, health information, or biometric information, and users must not enter it.
Activity and technical information. Records of actions taken in the Platform (for example, who created or changed an order and when), sign-in times, and technical data such as IP address, browser type, and device information that our hosting and sign-in providers log to keep the service running and secure.
We do not use advertising or analytics trackers, and we do not collect payment card information through the Platform.
3. Google Sign-In and Google User Data
You can sign in with your Google account. Sign-in is handled by our authentication provider, Clerk. When you sign in with Google, we receive only your name, email address, and profile picture (the standard "openid," "email," and "profile" permissions). We do not request access to your Gmail, Google Drive, Calendar, contacts, or any other Google data.
We use this information to create and run your account: to identify you, match you to the invitation your employer or ANSCRIPT sent to your email address, give you access to the stores and tools you have been assigned, show your name to your team (for example, in staff lists and on orders you handle), and let your organization's administrators manage staff. We do not sell it, use it for advertising, or use it to train artificial intelligence or machine learning models, and we do not share it except with the service providers in Section 5 that run the Platform.
ANSCRIPT Solutions' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
4. How We Use Information
- To provide the Platform: signing you in, giving you access to the right stores and tools, and showing and saving the work you and your team enter.
- To send messages the dealership asks the Platform to send, such as an email telling an end customer that their parts have arrived.
- To keep the Platform secure: preventing unauthorized access, keeping each dealership's data separate from every other's, and investigating misuse.
- To support you, answer questions, and fix problems.
- To operate and improve the Platform, using usage and performance information.
- To comply with the law and enforce our Terms and Conditions.
5. How We Share Information
We do not sell personal information and do not share it for cross-context behavioral advertising. We share information only as follows:
- With your organization. Managers, directors, and administrators at your dealership or dealer group can see and manage staff accounts and the data entered at their stores.
- With service providers that run the Platform for us, only as needed to provide their service:
- Netlify: website and application hosting
- MongoDB Atlas (running on Amazon Web Services): database
- Clerk: sign-in and account management
- Google: "Sign in with Google"
- Resend: delivery of emails the Platform sends
- Cloudflare: security check when signing up
- Brave Search: part-number lookup (only a part number is sent, never a customer's details)
- U.S. National Highway Traffic Safety Administration (NHTSA): decoding a vehicle's VIN (only the VIN is sent)
- GroupMe: if a store sets it up, SRC check-in details (no photos) are posted to that store's group
- For legal reasons. If required by law or legal process, or when we believe disclosure is necessary to protect the rights, property, or safety of our users, the public, or ANSCRIPT.
- In a business transfer, such as a merger, acquisition, or sale of assets, subject to this policy.
- With consent, or at the direction of the dealership that controls the data.
6. Cookies and Local Storage
We use only what the Platform needs to work:
- Sign-in cookies set by Clerk to keep you signed in securely.
- Browser local storage on your device, to remember your selected store and dealer group, display preferences (for example, light or dark appearance), and the tab and filters you last used in each tool (such as a selected service writer or advisor). Session storage, which your browser clears when you close it, remembers whether you closed a notice. The Parts Order Tracker may also keep a temporary copy of parts orders in your browser. You can clear this storage in your browser settings at any time.
We do not use advertising or cross-site tracking cookies. Blocking cookies will prevent you from signing in.
7. Data Retention
We keep account information while your account is active and for a reasonable period afterward for security and record-keeping. Customer Data is kept while the dealership uses the Platform. When a dealership's agreement ends, we email each director and service manager a set of spreadsheet files of their stores' current records and then permanently delete the dealership's data, photographs, and staff sign-ins, generally within 90 days, as described in Section 17.5 of our Terms and Conditions. We keep only an anonymous record that the account was closed, without its name or anyone's details. When someone deletes a record in the Platform, it may first be marked as deleted and removed permanently later (photographs of a deleted SRC check-in are erased 30 days after it is deleted), and copies may remain in backups for a limited time before they are overwritten. We may keep information longer where the law requires it.
8. Data Security
We protect information with measures including encryption in transit (HTTPS) and at rest, sign-in through an established identity provider, role-based access that limits each person to the stores and tools they are assigned, separation of each dealership's data from every other dealership's, and a log of significant changes. If we learn of a security incident affecting personal information, we will notify the affected dealership as described in our Terms and as required by law. No system is completely secure, and we cannot guarantee absolute security.
9. Your Rights and Choices
Depending on where you live, you may have the right to access, correct, or delete personal information about you, to receive a copy of it, or to object to certain processing. Authorized users can see and update their name in the Platform, and can contact their employer or us for other requests. End customers should direct requests to the dealership, and we will help the dealership respond. We will not discriminate against anyone for exercising their privacy rights. We may need to verify your identity before acting on a request.
10. Children's Privacy
The Platform is a business tool for dealership and shop staff and is not directed to children under 16. We do not knowingly collect personal information from children.
11. Where Data Is Stored
ANSCRIPT is based in Illinois, United States. The Platform's data is stored and processed in the United States.
12. Changes to This Policy
We may update this policy from time to time. When we do, we will change the "Last updated" date above, and we will give additional notice of significant changes where appropriate. Continued use of the Platform after an update means you accept the updated policy.
